  • WhatsApp Communication: The Website integrates WhatsApp Business API for communication. Users can choose to receive appointment confirmations, reminders, and basic support via WhatsApp once they initiate contact or submit a request.

  • Online Payments: The Website may provide secure payment links for one-time payments, such as booking confirmation fees, advance deposits for procedures, or service payments. (There are no recurring or subscription charges – see Section 2.)

  • Information & Educational Content: General information about Ivy Clinics’ treatments, doctors, clinic locations, and pricing ranges is available. The site also offers patient education content, such as blog articles and service descriptions.

  • AI Chatbot Assistance: An AI-powered chatbot is available to guide users with frequently asked questions, basic information, and help in scheduling appointments. (See Section 11 for chatbot limitations.)

No Online Medical Diagnosis or Treatment: The above online services are provided to enhance patient convenience and knowledge, but Ivy Clinics does not offer medical diagnoses, treatment prescriptions, or telemedicine services through the Website. All healthcare decisions, diagnoses, and treatments are made only after an in-person evaluation by a qualified medical professional at an Ivy Clinics facility.

2. Payments and Prepayments

Ivy Clinics is not an e-commerce platform and does not sell products or offer subscription services through the Website. All payments made via the Website are voluntary, one-time transactions related to specific services:

  • No Subscriptions or Auto-Renewals: The Website does not feature any subscription plans or auto-renewing services. You will not be billed on a recurring basis for any online service.

  • Service-Specific Prepayments: Ivy Clinics may allow users to pay in advance for certain services (for example, to confirm a booking or place a deposit for an upcoming procedure). Any such payment will correspond to a particular appointment or service and is processed as a one-time charge.

  • Voluntary Payments: Paying online is optional and provided for your convenience. If you prefer, you may choose to pay in person at the clinic for most services. All online payments are handled through secure, trusted payment gateways (see Section 10 for Third-Party Payment Gateways).

3. Appointment Booking & Confirmation

Submitting an appointment request or booking a time slot through the Website does not guarantee that the appointment is confirmed:

  • Tentative Bookings: Online appointment requests are considered tentative. After you request a slot, Ivy Clinics staff will review your request and verify doctor and clinic availability. The appointment is only confirmed when Ivy Clinics communicates the confirmation to you (via phone call, email, SMS, or WhatsApp).

  • Clinic Confirmation: Ivy Clinics reserves the right to accept, modify, or decline an online booking request. If your requested slot or chosen doctor is not available, the clinic will attempt to propose an alternative time or date.

  • No Guarantee of Availability: The Website’s scheduling system aims to reflect up-to-date availability, but actual appointment availability can vary. Ivy Clinics is not liable if a requested appointment slot is unavailable or if a confirmed appointment needs to be rescheduled (e.g., due to unforeseen doctor unavailability).

  • Appointment Communications: Once an appointment is booked or confirmed, Ivy Clinics will contact you with relevant details. (By providing your contact information, you consent to such communications – see Section 12.)

4. Appointment Cancellation & Refund Policy

Ivy Clinics has specific policies for cancelling appointments and refunding any advance payments:

  • Cancellation Window: If you need to cancel or reschedule an appointment, you must inform Ivy Clinics at least 24 hours before the scheduled appointment time (or within the notice period specified by the clinic for that service). Late cancellations may be treated as no-shows.

  • Refund Eligibility: Advance payments or deposits made for an appointment will be refunded only if the appointment was booked online and you cancel within the allowed cancellation window. No refunds will be provided for appointments canceled outside of this window or for failure to attend (no-show), subject to clinic policy.

  • Refund Process: For eligible cancellations, refunds will be processed back to the original payment method (e.g., the same credit/debit card or digital wallet used) within approximately 7–14 working days. Processing times may vary depending on the payment gateway and your bank.

  • No Refunds for Completed Services: Payments for services that have already been provided cannot be refunded. This includes completed consultations (whether online advice or in-clinic), diagnostic services, procedures, or treatments that have been carried out.

  • Rescheduling: If you request to reschedule an appointment (with appropriate advance notice), Ivy Clinics will accommodate the change without any penalty or additional charge. The prepaid amount (if any) will be applied to the rescheduled appointment.

  • No-Show Policy: If you do not attend a scheduled appointment without prior cancellation (a “no-show”), Ivy Clinics reserves the right to retain any deposit or prepayment made for that appointment. Repeated no-shows or last-minute cancellations may result in requiring non-refundable prepayments for future bookings, at the clinic’s discretion.

5. Content Ownership & Intellectual Property

All materials and content on the Ivy Clinics Website are protected by intellectual property laws and are the exclusive property of Ivy Clinics (or are used by Ivy Clinics with permission):

The third-party vendor will use the data only to generate analysis/results for the clinic, and not for any other purpose without your consent.

  • No Autonomous Diagnosis: The AI dental scanner’s output (such as automated observations, measurements, or suggested treatment insights) is preliminary and for reference only. It does not constitute a medical diagnosis. Ivy Clinics’ qualified dentists will review the AI findings alongside their own clinical examination. The dentist’s professional evaluation and judgment supersede any AI-generated results.

  • Limit of Liability for AI Tool: Ivy Clinics is not liable for any inaccuracies or errors in the analysis provided by the third-party AI tool. If the AI scanner were to fail or produce unclear results, the dentist will rely on traditional examination methods.
